A benefit in kind is a benefit or expense an employer provides that may have a taxable value even though it is not ordinary cash salary.

Start with the benefit actually provided

A benefit in kind is something provided because of employment that may create a taxable amount outside ordinary cash salary. Examples can include a company car, private medical cover, living accommodation or a beneficial loan, but each benefit has its own valuation, exemption and reporting rules.

Do not assume that every staff perk is taxable or that its taxable value is simply what the employer paid. Identify the benefit, who received it, when it was available and any employee contribution. Then use the current official rule for that category. The GOV.UK reporting guide routes employers to the relevant treatment.

Choose the reporting route that applies now

For the 2026 to 2027 tax year, an employer can payroll only benefits it registered to payroll before 6 April 2026. Benefits not validly payrolled generally need end-of-year reporting, while employer-provided loans and living accommodation remain outside voluntary payrolling. Keep the Income Tax treatment separate from the employer's Class 1A National Insurance reporting and payment. A benefit can be included through payroll for tax while an annual P11D(b) obligation remains.

Record enough to support the value

For each employee and benefit, retain the category, availability dates, cost or valuation inputs, business-use evidence where relevant, employee contributions and the reporting route used. Reconcile the employee detail to any P11D, payroll entries and the employer's Class 1A National Insurance total.

The April 2027 policy introduces mandatory real-time reporting in phases, with detailed scope and exceptions still important. Review the process before each tax year and when HMRC publishes final operational guidance, rather than waiting until the first affected payday.
