How much does HollyHR cost for a small UK team?

HollyHR Free is £0 for organisations with up to 10 active employees. Standard is £2 per active employee per month, or £20 per active employee per year. Standard bills every active employee, including the first 10. Applicable taxes are calculated at checkout.

What happens when a Free team reaches 11 active employees?

Free is available only while an organisation has 10 or fewer active employees. At 11 active employees, Standard is required and costs £22 per month, or £220 per year. There is no headcount band jump: each additional active employee changes the monthly Standard price by £2.

Can a team with fewer than 10 employees choose Standard?

Yes. A small team can stay on Free or choose Standard for its additional scale and controls. For example, Standard for 10 active employees is £20 per month, or £200 per year.

Do charities and non-profits get a discount?

Yes. Eligible charities and approved non-profits get 50% off Standard, making it £1 per active employee per month before applicable tax. The same discount will apply to Plus when it launches; its planned discounted price is £2 per active employee per month. Apply through our contact form so eligibility can be checked before a private checkout code is issued. Fair-use boundaries apply.

What counts as an active employee?

Billing follows current active employment, not sign-in access. A profile counts while its employment timeline is active. Profiles mapped as volunteers under the organisation's published engagement policy do not count; profiles without current active employment do not count either.

How do I track staff holiday without a spreadsheet?

Use one leave record that stores the requested dates, category, status and calculation context, then calculates approved, pending and remaining balances from it. That's the whole job of a staff holiday tracker, whatever a vendor calls it (annual leave tracker, holiday planner, leave calendar). HollyHR provides that core today, with self-service dated requests, working-pattern-aware saved duration, category balances and built-in reports inside the same record that drives Who's Away and absence reporting, so nothing needs re-syncing.

What employee information can I keep in HollyHR?

HollyHR records personal and work contact details, emergency contacts, job title, department, current manager, workplace, working pattern, start and leaving dates, employment type, compensation, banking details, documents and time off. HR and System Admins can also define typed custom fields for organisation-specific information.

What files can I upload to HollyHR?

You can upload up to ten files at a time, each up to 10 MB. Supported types include PDF, Word, Excel and PowerPoint files, text and CSV, JPG, PNG and GIF images, plus ZIP and RAR archives. HollyHR also lets you save an external profile-document link when the URL uses HTTPS and passes its host checks.

Can I export my organisation's data if I leave HollyHR?

Yes. A System Admin can choose Prepare secure export in Settings after a fresh security check. HollyHR returns a private download link valid for five minutes and records the completed export. The action does not require a cancellation request or support ticket, and there is no separate export fee.

How does HollyHR protect employee data?

HollyHR combines server-side sessions, active-organisation membership checks, permission-aware services, application-scoped database queries, extra encryption for selected high-sensitivity values, private signed document access and audit records for sensitive actions. No single layer is presented as a complete guarantee.

Where is HollyHR data stored, and does it leave the UK?

Primary HR records and the application runtime are in the EU, while uploaded documents and HollyHR database backup copies are stored in AWS London. Supporting providers, including email, billing, support and human mailbox services, have their own regions and transfer terms, so HollyHR does not claim that all processing stays in the UK.

Who owns the employee data in HollyHR?

The customer controls its organisation data. HollyHR processes that data to provide the service under its Data Processing Agreement. Customers can prepare an organisation export without opening a support ticket, but some provider records and legal-retention evidence have separate handling boundaries.

Can we cancel HollyHR at any time?

Standard is monthly or annual when available. Stripe-billed customers cancel from Billing settings; other arrangements are managed outside that portal. Cancellation takes effect at period end, with paid access continuing until then. Deletion is separate: export before closing the workspace.

What can a HollyHR System Admin export?

After a fresh check, a System Admin can prepare a private ZIP with 26 manifest datasets, eligible profile and compliance files, and two manifests. Datasets include employment timeline commands, benefit memberships, and document-compliance assets, versions, requirements, reminders, assignments, person states, openings and acknowledgements. The private download link lasts five minutes.

Can HollyHR import Excel and CSV files?

Yes. A System Admin can upload CSV or .xlsx people files. The browser parses the file, suggests field matches and shows a five-row preview before import.

Which spreadsheet fields can HollyHR import?

The current people importer maps 12 fields: first name, last name, work email, preferred name, personal email, work phone, personal mobile, department, job title, start date, date of birth and work type. First name, last name and work email are required.
