The realities of healthcare employment

The staff file needs to be ready for more than payroll.

Recruitment evidence, qualifications and careful access all sit behind a safe service, even when the clinical record lives elsewhere.
Recruitment evidence, qualifications and access
Recruitment records

Recruitment evidence should be ready for the named person

Keep identity, references, qualifications and the evidence your provider records with the employee rather than reconstructing the file when it is reviewed.

Qualifications and competence

Qualifications and competence need more than a filing date

Record the documents and review dates your provider chooses, with the employment history alongside. The professional body or checking service remains the authority.

Careful access

Health information needs tighter access

Keep sickness and employment records available to the roles that need them without giving every clinical or team manager blanket access to confidential HR information.

How HollyHR helps

Keep the staff record ready without mixing it with patient care.

Employment details, documents and time off stay connected while patient records and clinical operations remain in their own systems.

Works alongside your specialist tools

  • Patient records and clinical casework

HollyHR keeps the evidence and decision you record. It does not perform the underlying check or decide whether a person is suitable for clinical work.

Healthcare teams we support

A clear employee record across different healthcare settings.

HollyHR supports core employment records for smaller healthcare providers. Regulatory duties still follow your service, nation and activity.

Private medical clinics

Clinical and administrative employees working around appointment-based care.

Dental practices

Dentists, nurses, hygienists and practice teams in one employment record.

Physiotherapy and osteopathy

Practitioners and support employees working across clinics or locations.

Therapy and counselling services

Employed practitioners and operations teams with careful access needs.

Diagnostics and health screening

Technical, clinical and administrative roles with qualification evidence.

Community healthcare services

Mobile and multi-location teams that need one current staff record.

These are examples, not a statement about your regulator or registration status.

Questions before you switch

Straight answers to common questions.

Check the practical details before deciding whether HollyHR fits your team.
Can HollyHR help a CQC-regulated provider keep staff records?

Yes, as the core employment record. For regulated providers in England, CQC Regulation 19 expects effective recruitment processes and relevant records for each person employed. HollyHR can organise documents, employment history and review dates, but it does not decide suitability or guarantee compliance.

Does HollyHR check DBS certificates or professional registration?

No. Use the relevant DBS route or professional register to perform the check. HollyHR can keep the evidence and decision you record, with dates and access controls, but the checking authority remains external.

What about bank staff, agency staff and volunteers?

CQC uses a broad meaning of 'person employed' for regulated activity that can include volunteers, contractors, agency and bank staff. Decide which evidence your provider must keep for each relationship. HollyHR is primarily the core record for your directly employed team and does not replace an agency-management or clinical rota system.

Can clinical managers see sickness information?

Access should follow the responsibility held, not the job title alone. HollyHR provides role-aware access so managers can receive appropriate team context without blanket access to confidential HR records. Your organisation still decides the lawful access model and what health information it needs to keep.

How much does HollyHR cost for a clinic or healthcare team?

Free is £0 for up to 10 active employees, with no card requirement or trial clock. Standard is £2 per active employee per month before applicable tax. Plus is coming soon at £4 per active employee per month.
