The realities of education employment

The staff record has to work across terms, roles and checks.

Term-time patterns and safer-recruitment evidence make a school staff file different from a standard nine-to-five record.
Recruitment evidence, terms and roles
Safer recruitment

Safer recruitment needs a traceable staff file

Keep identity, references, qualifications and the employment evidence you record with the person, while the Single Central Record and underlying checks remain in their required process.

Term-time work

Term-time work needs the actual pattern

Keep agreed weeks, hours and dated changes with the employee so leave and payroll hand-offs start from the working arrangement you actually agreed.

Roles and departments

Several roles should not mean several versions of the truth

Keep the current department, manager, role and employment history together when one person works across classes, sites or responsibilities.

How HollyHR helps

Keep the staff record clear beside the school day.

Employment details, working patterns and onboarding evidence stay connected while teaching and safeguarding remain in education systems.

Questions before you switch

Straight answers to common questions.

Check the practical details before deciding whether HollyHR fits your team.
Does HollyHR replace a school's Single Central Record?

No. Keep the Single Central Record in the form and process required by your school and current guidance. HollyHR can organise the employee file and recorded evidence around it, but it does not claim to be the statutory record.

Does HollyHR perform DBS or teacher-status checks?

No. Use the authorised DBS route and the official teacher-record service where applicable. HollyHR can keep the evidence and decision you record with the employee, but it does not perform or validate the underlying check.

Which safer-recruitment guidance applies?

Schools and colleges in England should use the version of Keeping Children Safe in Education currently in force. Other UK nations, early-years settings and training providers have their own requirements. Check the guidance for your setting rather than treating one checklist as universal.

Can HollyHR handle term-time and part-year working patterns?

You can keep each employee's agreed working pattern and use it as the basis for leave and employment records. Holiday entitlement and pay for irregular-hours or part-year workers depend on the current statutory method and the leave year, so check the current government guidance and your payroll calculation.

How much does HollyHR cost for a school or education team?
